Optional Coastal Georgia Field Trip Information

      for 8th Grade Students

     Trip Dates: Wednesday, May 1, 2019 – Friday, May 3, 2019

Cost of the Trip is $390.00 per Person

  • We are excited to announce we will offer our eighth graders the opportunity to take a trip through Georgia's coastal area! This is a three-day, two night tour that will take our students across Georgia to visit and study some of our state's most famous sites.  The trip is scheduled for Wednesday, May 1st – Friday, May 3rd    The cost for the trip is $390.00 per student.  This cost includes transportation on luxury motor coaches, hotel lodging, all meals, nighttime security, and admission to all sites and events.  Field trip seats are available on a first come first serve basis.  An initial deposit must be made by December 20, 2018 to secure a spot on the trip. You may not register for the trip after December 20, 2018.  The first 185 students are guaranteed a spot on the trip, once the slots are full a waiting list will be started.  Students will be added to the list in the order they turn in their deposits and permission forms. The initial $100 deposit should be turned into Mrs. McCarty during homeroom. Students on the waiting list will be notified as soon as a spot becomes available. After December 20, 2018 deposits will not be refundable.  (See Waiting List Exemption below) Additionally, trip participants must have a balance of $250 by January 11th to remain an active member of the trip.  Final payment is due by March 12, 2019 and ABSOLULTELY NO REFUNDS WILL BE ISSUED AFTER March 21, 2019.  Make your check payable to HCCMS, on the notes line at the bottom of the check please write, Coastal GA Trip.  Return, this letter and your $100 deposit check to Mrs. McCarty (Room 405).   (**If a check is returned due to insufficient funds, future payments must be made in cash.) 

    Waiting List Deposit Exemption:

    If you are on a waiting list, the deposit and any amount paid toward the trip will be refundable until you are place on the active roster or March 21, 2019, whichever comes first.  Once you have been made active on the trip, the December 20, 2018 deposit refund deadline will be in effect.) 

    The suggested payment plan is as follows: (Remember all payments must be submitted to Mrs. McCarty during homeroom.)

    • October 12th               $100.00 (Non-refundable after December 20, 2018)
    • November 12th              $60.00
    • December 12th            $60.00
    • January 11th               $60.00 (Minimun of $250 is due to remain active on the trip)
    • February 12th              $60.00
    • March 12th                  $50.00


    Make your check payable to HCCMS, and turn it in, along with your registration letter to Mrs McCarty in Rm 405.
    If a refund is necessary, a written request must be submitted to your child's Georgia Studies teacher.

Trip Expectations

  • All 8th GRADE STUDENTS are eligible to go on the Coastal Georgia field trip with the following exceptions for behavior:

    • Students with two full-day assignments to In School Suspension (ISS) between October 11, 2018 and April 30, 2019 may not participate unless their parent or guardian, at their own expense, accompanies and supervises them. Parent or guardian spots would be determined based on space available at the time of the parent or guardian request.

    • Students who are assigned to Out of School Suspension (OSS) anytime in the 2018-2019 school year or students who serves three or more full-day assignments in In School Suspension WILL NOT BE ABLE TO ATTEND THE TRIP UNDER ANY CIRCUMSTANCES.  

    • Refunds cannot be provided for any ISS or OSS placement after March 21, 2018.

Refund Policy

  • Please carefully consider your family calendars, potential extracurricular or team obligations and discuss conduct expectations with your child before committing to the trip.  Refunds will be handled in the following way:


    Prior to December 20, 2018

    Refunds of the deposit and any additional funds paid may be processed with out a penalty.  A written request must be submitted to your child's Georgia Studies teacher by December 20, 2018. 


    Between December 21, 2017 thru March 21, 2019

    If a refund request is made during this time period, all funds minus the $100 deposit may be processed for the return.  (If you are on the waiting list, refunds are available acoording to the Waiting List Exemption discribed above.) A written request must be submitted to your child's Georgia Studies teacher.  



    After March 21, 2019

    no refunds can be provided for any reason . At this time, all funds collected will be transferred to the travel agency to make bus reservations, set up meals/tours and purchase tickets. The travel agency does not make provisions for participants that fail to meet announced school level obligations or personal plan changes (examples: assigned to ISS or OSS, change of mind, moving, withdrawing from school, etc.) 

Scholarship Fund

  • Harris County Middle School is requesting donations to support students who are unable to attend due to money concerns.   A full student scholarship would be $390, however, we would appreciate any level of support you are comfortable giving.

    Please see the attached scholarship letter and return the contribution page with your tax deductible donation.

  • 1.  What time do students leave?

    a.  Leave time 6:30 a.m. Sharp

    b.  Drive thru drop off in front of the lower (new) gym beginning at 5:45 a.m.

    2.  When do they return?

    a.  Return Friday evening at approximately 9:45 p.m.

    b.  Pick up in front of old gym beginning at 9:00 p.m.

    3.  What is the adult/student ratio?

       a  Approximately 15 students to 1 adult, usually even less

    4.  What is the cost of trip for Chaperones?

    a.  Chaperones pay same prices as students, $390

    b.  Chaperones are required to complete a background check for an additional $5

    c.  Approximately $100 additional cost if a private room is requested.

     5. What if my child attends the trip, but I can't afford the cost?

    a. Limited Scholarships (full and partial) available by application
